Who we are
Renaissance Applied Intelligence LLC ("Renaissance", "we", "us") is a Texas limited liability company. We run this website, renaissance.systems, and Carrier Bridge, our hosted service that turns employee census and enrollment files into carrier and benefits-administration files. Carrier Bridge is reached at carrierbridge.app, at each client's own address under carrierbridge.app, and through renaissance.tools, where users choose a product and sign in.
Questions about this policy go to hello@renaissance.systems.
Two kinds of information
We handle two kinds of information very differently.
- Personal information about you as a visitor to this website or as a user of Carrier Bridge, such as your name and work email address. This policy covers it.
- Client data: the census and enrollment files a client sends to Carrier Bridge, the files Carrier Bridge produces from them, and the records of each run. These files often contain protected health information (PHI) about employees and their families. We handle client data only on the client's behalf, as its business associate under HIPAA, under that client's Services Agreement and Business Associate Agreement. Those agreements and HIPAA govern client data, not this policy. The client data section below summarizes how we protect it.
Website visitors
This website has no user accounts. It runs no analytics, advertising or tracking scripts, and it sets no cookies.
- Contact form. If you use the form on our Contact page, we receive your name, email address and message. Netlify Forms stores the submission and sends it to us by email. We use it only to reply to you.
- Email. If you email us, we receive your address and whatever you write.
- Fonts. This website serves its fonts from its own servers, so no font service receives your details when a page loads.
- Hosting. Netlify hosts this website and receives the technical details every web request carries, such as your IP address and browser type, in order to deliver the pages.
Carrier Bridge users
Carrier Bridge is for the staff of our business clients. Each client names a client admin, who invites its users. When you use Carrier Bridge, we keep:
- Account details: your name, work email address, role, the client account you belong to, the identifier of your Microsoft work account if you sign in with Microsoft, your email notification setting, and when you last signed in.
- Activity records: our security audit log records who did what in Carrier Bridge, with the time, the action, the page or record involved, your IP address and your browser type.
- Usage and billing records: the submissions you start, with their dates, status, file names, counts and costs; and, for your company's billing contact, the name, email address and billing address used for invoices.
- Support messages: what you write to us by email or through the issue reporter in Carrier Bridge.
- Technical logs: request timings and error information that help us keep the service running.
We use this information to sign you in, run Carrier Bridge, keep it secure, support you and bill your company. We do not use it for advertising.
Cookies in Carrier Bridge
Carrier Bridge sets only the cookies it needs to sign you in: a session cookie that keeps you signed in until 30 days after your last visit and, while sign-in moves you between our addresses, a second cookie that expires after 10 minutes. Both are limited to the address that set them, are sent only over secure connections, and cannot be read by scripts on the page. Your browser also stores your display preferences, such as light or dark theme, on your device. Carrier Bridge has no analytics or advertising cookies, and it serves its fonts from its own servers.
Client data and PHI
When a client's users upload files to Carrier Bridge, we act for the client. The client owns the files and their outputs, and its Services Agreement and Business Associate Agreement with us, together with HIPAA, decide how we may use them. This section is a short summary of how we protect them.
- We use client data only to provide, secure, support and bill for the service, as the client's Business Associate Agreement allows, and as the law requires.
- Our primary hosting and storage are in our own Microsoft Azure environment, in Azure's East US 2 region in the United States. Anthropic also processes client content, as described below.
- Client data is encrypted in transit. The active production databases and storage that hold client files and run records are encrypted at rest with keys Renaissance controls. Logs, and a temporary rollback copy of our database that will be deleted on October 14, 2026, use keys Microsoft manages. Our Security page has the details.
- Uploaded files and the files Carrier Bridge produces are deleted automatically 7 days after they were uploaded or created. After a file is deleted, we can recover it for up to 1 more day, and then it is gone.
- AI processing uses Anthropic's Claude models under a Business Associate Agreement, and each request asks Anthropic to process it in the United States. We do not use client data to train AI models, and Anthropic's commercial terms do not permit it to train models on the content we send.
If you are an employee or family member whose information was in a client's file, please contact the employer, plan or agency that sent it, because it controls that information. If you contact us, we will pass your request to that client. Our Security page describes our safeguards in full.
How long we keep it
- Contact form messages and email: as long as we need them to reply and follow up. You can ask us to delete yours.
- Carrier Bridge account details and run history: for the life of your company's account. We purge them within 30 days after your company's agreement with us ends. Our database backups can restore purged records for 7 days after the purge, and then they are gone.
- Issues reported in Carrier Bridge: until your company's account is purged.
- Sign-in links and invitations: sign-in links expire after 15 minutes and are removed after 1 day. Invitations expire after 7 days and are removed after 30 days.
- Security audit log: at least six years. It does not expire automatically.
- Invoices, payments and usage records: at least six years, as financial records. They do not expire automatically.
- Technical logs: application logs for 90 days; Azure platform logs for 365 days.
Your choices and rights
You can ask us to tell you what personal information we hold about you, to correct it, or to delete it. Email hello@renaissance.systems and tell us what you would like. We may need to confirm who you are before we act, and we will not treat you differently for asking. Where the law gives you the right to a portable copy of your information, or to appeal a decision we made about your request, email us at the same address to ask for it.
Some records we must keep after a deletion request, such as our security audit log and our financial records, for the periods above. If you use Carrier Bridge through your company, your client admin can also disable your account. For client data, we pass your request to the client, as explained above.
We do not change our practices in response to Do Not Track signals from your browser.
Children
This website and Carrier Bridge are for businesses. They are not directed to children under 13, and we do not knowingly collect personal information from children through them. Client files can include information about employees' dependents, including children. That information is client data, handled under the client's agreements as described above.
Changes
When we change this policy, we post the new version on this page with a new effective date. Changes to how we handle client data also follow the notice terms in each client's agreements.
